Security measures

The security of confidential data and the availability of our service is our highest priority. System One uses high-end equipment and services from leading companies as well as extensive security measures to guarantee the safety and reliability of our service.

We cannot stress enough that we are 100 percent committed to the security of the data and privacy of our users. It is only with this guarantee that our customers can use our online application with complete confidence.

Reliability and Data Storage

To make sure that System One has the great uptime that it does* and to keep the possibility of data loss** to an absolute minimum, several measures have been taken.

  • Premium datacenter: The System One-servers are placed in a state-of-the-art datacenter in Amsterdam that offers backup-power supply, redundant air-conditioning, and 24 hour monitoring;
  • Hot swapping: Whenever a disk fails, the server will continue to be online, while the faulty disk will be replaced;
  • Redundant data storage: The configuration of the hard drives is set in a RAID array configuration that allows multiple hard-drives to fail. The server will continue to be online in such an event;
  • Redundant servers: The production server has a twin brother that will take over the functions of the server in the case of a severe hardware failure;
  • Backups: Several on- and off-site database backups are made periodically.

* Uptime: Our service is constantly monitored by Alertsite.com. This company delivers the statistics that we use in our Service Level Agreement (SLA). They do this by checking the System One server from several cities worldwide. In the past 3 years, the average monthly uptime has never been below 99.98%.
** Data loss: Since the first version of System One came online in 2001, no event has occurred that involved data loss.

Secure Communication

All data that is exchanged between our server on the internet and the computer of the user is encrypted with a 128-bit SSL encryption (Secure Sockets Layer). When communication is intercepted by third parties, it is illegible. This same technique is used to secure online transactions on online banking websites and e-commerce stores.

Data Access

Only individuals with a user account that has been created from the customers' administration account, have access to the company's data. Different permissions can be set per user to shield certain data.

Personnel of System One that have access to information for technical or support purposes are bound by an obligation of secrecy. They have also filed a Certificate of Good Behavior ("Verklaring Omtrent het Gedrag" or "VOG"). This is an official document issued by the Dutch government.

Confidential Information, Privacy

The company entering data into System One remains the owner of that information at all times. System One is solely a software developer/supplier and has no participation in any other businesses. System One warrants that all of the information received by the client shall remain secret (article 3.1 in the General Terms & Conditions).

When a client wants to stop using System One we will provide an export of the data that has been entered into our database. The client can import this data into any new software he or she might use. No costs are charged for this service.

System One makes use of standardized and widely accepted terms and conditions for the ICT sector; the General Terms & Conditions of FENIT version 2003. These Terms & Conditions are created by ICT~Office, an organization that unites over 500 companies in the Dutch IT, Telecom, Office and Internet sectors.

System One signs an agreement with their customers that has (amongst other articles) a Service Level Agreement (SLA). A copy will be sent at your request.
